OUR POLICIES

Deposit, Payment, Refund & Cancellation

All hunts and classes booked through Buffalo Nickel, LLC on or after August 1, 2023, are subject to the Deposit, Payment, Refund, & Cancellation Policy disclosed at the time of booking.

A deposit of 25% of the total cost of the hunt or class is required to reserve your hunt or class date(s). This deposit will be collected at the time of booking, either by (check or wire transfer. Your invoice will be sent to you directly after booking your dates). The balance of the hunt or class cost is due (7) days prior to your scheduled arrival date. We will send a reminder to pay the remaining balance. Any additional incurred fees during your time with us will be due on-site upon completion of your hunt and can be paid via cash, check, or card.

Deposits are refundable for 21 days (unless otherwise specified). After 21 days, deposits become transferable only and can be applied to future open hunt dates or classes. 

You must cancel no later than 30 days prior to the hunt or class arrival date in order to be eligible to have your deposit transferred to future open hunt dates or classes (unless otherwise specified)

Bookings made within 14 days of the arrival date of your hunt or class will require payment in full to reserve your hunt dates and/or class spot.

HOW DO I CANCEL? 

To cancel your scheduled hunt or class attendance, please email info@thebuffalonickel.com stating your decision to cancel your hunt and your requested future hunt dates or class (if applicable). If you do not address the transfer of your deposit in this email, it will be decided that you forfeit this option and do not wish to transfer your deposit to eligible future dates. You will not have the option to transfer this deposit at a later time.

Once we receive your cancellation notification email, we will respond to let you know that your hunt was canceled. If applicable, we will be in touch with you to schedule and apply your deposit to your future hunt dates or class. We do not guarantee your desired dates will be available, but we will work with you to find the best scheduling option.

We recommend purchasing travel insurance for flights and/or rental vehicles in the instance that your hunt or class is canceled or rescheduled due to inclement weather or any other unforeseen circumstances.

Behavior

Buffalo Nickel Lodge (BNL) will under no circumstances tolerate disrespectful, hateful, harmful, or inconsiderate language or actions towards members of the BNL team, industry partners, guides, working animals, or other hunters. BNL will under no circumstances tolerate the use or possession of any drug or drug paraphernalia while attending a BNL activity. No alcohol consumption will be allowed during BNL activities. The consumption of alcohol may be allowed at specified times during BNL activities, but this will be at the discretion of the BNL team and activity partner(s) (e.g. guide(s), industry partner(s), etc.). Excessive consumption of alcohol could potentially lead to dangerous situations, and this behavior will immediately disqualify affected BNL activity attendee(s) from further participation. This will be at the discretion of the BNL team. Any language or action(s) deemed inconsistent with the regulations set forth in this policy (or the terms of the activity’s grounds, lodging, owners/operators, or local/state/national regulations) is immediate grounds for the termination of BNL service for the remainder of the BNL activity. Any activity attendee(s) who violate this policy (or the regulations set forth by any third party suppliers for an BNL activity) will not be permitted to complete their participation in the current BNL activity or to participate in any future BNL activity. No additional service from BNL or refunds will be granted or guaranteed in the event that this policy is violated.

Content Sharing

The Buffalo Nickel Lodge (BNL) has the absolute right and permission to any and all copyrights and/or publishing rights as well as to reproduce, or otherwise use, my the name, voice, commentary (verbal, written, or typed), and/or likeness in any and all content (including, but not limited to, video, photographs, written materials, audio-visual recordings, and written and/or typed commentary or reviews) of any individual associated with any BNL activity or BNL business deal. This includes any social media (including, but not limited to, blogs, forums, social networking platforms, video sharing, and other communication apps). These materials may be used for both commercial and/or non-commercial purposes associated with BNL’s business, including (but not limited to) BNL’s marketing and branding, and specifically (but not limited to), BNL’s right to use, with its own discretion, any photos, videos, and/or audio taken during any BNL activity or as part of any BNL business deal. The content may be edited, copied, exhibited, published, and/or distributed in conjunction with BNL’s business – including (but not limited to) BNL’s marketing and branding. This material may be used individually or in conjunction with other media associated with BNL in any medium BNL may choose, including (without limitation) to print publications, digital publications, and/or public broadcast for any lawful purpose associated with BNL’s business. There is no time limit on the validity of this release or right, nor are there any geographic limitations on where these materials may be distributed – but these materials may only be used in conjunction with BNL’s business. By visiting this website and/or tagging/discussing/posting on BNL’s social media platforms, BNL is granted all ownership rights and irrevocable right and permission to use, copyright, publish, sell, distribute, and/or promote the content. There is no expiration date on this, but an individual has the right to request withdrawal of consent at any time by delivery of written notice to Buffalo Nickel, LLC. Should withdrawal of consent be decided by an individual, then any previously printed/published materials or types of media would be excluded – unless the individual is willing to pay for the cost of the replacement, productions, and printing of the publications after consent removal. Also, at time of withdrawal, the individual agrees to pay back any discounts that may have been given to them at the time of service. Participation in an BNL activity or business deal and content creation/collection/sharing is voluntary, and an individual may, at any time, discontinue their involvement and notify BNL via written notice ahead of any said activity or business deal. BNL sees no risk presently, and individuals take full responsibility for their involvement in any project, activity and/or business deal, and content creation/collection/sharing and the risks that it may entail (be they legal, physical, or mental) and release BNL from any claims, demands, losses, damages, suits, and liabilities of any kind whatsoever in connection with the foregoing. BNL is released from  any and all claims and any person or organization utilizing this content for marketing, educational, promotional, and/or any other lawful purpose whatsoever.

Dogs

Our lodge is dog friendly, but please ensure your dog is well-mannered, housebroken, up-to-date on vaccinations, flea/tick/worm free, and (if female) not in heat. Your dog will not be allowed on any furniture (including the beds or couches). An intermediate-sized Gunner Kennel will be provided in your room for your dog to stay in at night and any time when unable to be tended to – as long as we have enough available. You are free to bring your own crate. If you choose to hunt over your own dog rather than our guides’ dogs, please understand that the outcome of the hunt is largely dependent on both your dog’s training and ability and your ability as a handler. We will likely not hunt guide dogs with client dogs, but this is ultimately up to the guide. Although you are welcome to bring your dog if it meets these requirements, the staff (including guides and lodge staff) reserve the right to ask you to immediately kennel your dog at any time deemed necessary. This request will be non-negotiable. We do charge a fee to bring your dog. Please notify us if you plan on bringing your dog when you schedule with us and place your deposit. We will not offer refunds for hunts or workshops affected by behavior or ability of client dogs. If your dog causes damage(s) to the lodge, property, equipment, people, or dogs, we will notify you of the cost to cover the damage. Damage coverage payment will be drawn from your card on file unless another payment method is agreed upon. 

Hunter Orange

We require each hunter (and anyone else in the field) to wear a minimum of a hat and vest in “hunter orange” to participate in upland hunting. This is non-negotiable for safety concerns. We do have hats available for purchase and vests available for rent on-site for any guest who needs them. 

Hunting License

It is the responsibility of each hunter to ensure that they are properly licensed prior to stepping into the field for their first hunt. Per Kansas law, hunting upland game birds on Controlled Shooting Areas (CSAs) requires either a special CSA hunting license OR a current Kansas hunting license. A special CSA hunting license is only valid on Kansas CSAs. All Annual Hunting Licenses, including CSA licenses, can be purchased from any Licensed Agent or Online athttps://license.gooutdoorskansas.com.

Social Media Giveaways

By entering the giveaway hosted by Buffalo Nickel Lodge (BNL) – @buffalonickellodge on Instagram – or Western Flight Farms (WFF) – @westernflightfarms on Instagram, you agree to be bound by these terms and conditions. All entries must be received by the time specified in the specific giveaway post on the date specified in the specific giveaway post. One (1) winner in the United States of America will be selected – unless otherwise specified – at random by BNL or WFF on the date specified in the specific giveaway post, and the winner will be notified on, or after, this date. BNL’s or WFF’s competitions with entries via Instagram and/or Facebook are only open to residents of the United States of America. One (1) winner will be chosen – unless otherwise specified – at random from all entrants and across both platforms. No purchase necessary. Winners will not be required to pay to enter the competition. Entrants must be over 18 years old on the date of their entry – unless otherwise specified as a youth giveaway. Employees of BNL or WFF are not eligible to enter. Instagram and/or Facebook are not in any way affiliated or involved in the giveaway. Only one entry per person per competition will be accepted – unless otherwise specified. Each entrant shall enter the giveaway via Instagram by tagging another Instagram user (how many users to be specified) in the comments of the specified post by @buffalonickellodge and/or @westernflightfarms, sharing the specified post by @buffalonickellodge and/or @westernflightfarms to their story (stories on private accounts may not be seen), tagging @buffalonickellodge and/or @westernflightfarms, and following @buffalonickellodge and/or @westernflightfarms Instagram profile (and potentially other specified profile(s)). The prize specified in the specific giveaway post will be awarded to a randomly selected winner who has entered on Instagram or Facebook using a random number generator. BNL and WFF will not be held liable if the named prize becomes unavailable or cannot be fulfilled. BNL and WFF will not be held liable for any failure of receipt of entries. BNL and WFF take no responsibility for any entries which are lost, delayed, illegible, corrupted, damaged, incomplete. or otherwise invalid. To the extent permitted by applicable law, BNL’s and WFF’s liability under or in connection with the giveaway or these terms and conditions shall be limited to the cost price of the prize in question.
